TERMS AND CONDITIONS
- By placing a booking with us, you and your party (guests) agree to the following T&Cs as set out. If you have questions, please contact us at, bookings@africantourismalliance.com, before making a booking.
- The T&Cs below apply to all bookings whether made online through our website or made by email, telephone or in person.
- To place a booking with us the lead guest must be at least 18 years of age. Only the lead guest and the named booking party are allowed to use the property and its facilities.
- By placing this booking, this confirms that this contract is between you, your party and us. No other person shall have any rights to enforce any of its terms. Neither of us will need to get the agreement of any other person in order to change any of the agreed terms.
Passports, Visas and Health
- It is entirely the client’s duty to ensure that all passports and visas are current, valid, obtained on time and that any vaccinations, inoculations, prophylactics (e.g. for malaria) and the like, and proof thereof where required, have been obtained. Passports must be valid for 6 months after return to South Africa. Please check the requirements before travelling.
- Granting of actual visa and/or other travel document approvals is subject to the sole discretion of the issuing body based on traveller’s profiles. The Supplier does not provide any guarantee that their visa and/or other travel document facilitation services will lead to granted approvals.
- If, due to an inadequate traveller application as appraised by immigration officials, additional documentation, verification requirements or personal interviews arise, leading to incremental non-routine expenses for the Supplier, then the Client agrees to reimburse the Supplier for any such exceptional costs incurred within 5 (five) days of invoice submission.
- Reimbursable expenses could include, but not be limited to, communication costs, supplementary application materials, travel expenses for applicant to consulate outside normal visa application jurisdiction, expedited processing fees levied by authorities, hiring of legal consultations or authorized travel agents, as well as reasonable incidental efforts for facilitating successful visa issuance.
- Travellers must provide points of contact during trips to communicate directly for any issues or emergencies and to coordinate resolutions.
Booking Confirmation
- Bookings are confirmed on the condition that a minimum deposit of 25% of the total price is paid to African Tourism Alliance at the time of booking. You will be advised at the time of booking what payment is required for your particular travel arrangements.
- FAILURE TO PAY ON TIME WILL RESULT IN THE AUTOMATIC CANCELLATION OF YOUR BOOKING.
Documents
- Documents (vouchers, itineraries, etc.) are only prepared on receipt of full payment of your travel arrangements, signed and completed Booking Form and Indemnity Form, and will be emailed to you within 72 hours after the payment has been received and cleared in our bank account.
- It is important that you check all details of your travel documents (including your itinerary) prior to departure. If there are any inaccuracies on any of your travel documents, or should you have any further queries, please contact African Tourism Alliance immediately. We will not be liable for any delay and/or loss occasioned as a result of any inaccuracies on any travel documents once you are in receipt thereof and you have commenced with your journey.
Payment Terms Policy
- A minimum of 25% deposit must be paid to commence the booking (deposit varies based on the terms of service providers)
- The balance of the cost of your travel arrangements must be paid no less than 21 days prior to departure.
Price Changes
- The costs associated with the travel arrangements are not always stable, and currency movements can fluctuate. It is impossible to predict these movements in advance. When you book travel arrangements through us, we reserve the right to pass on any fluctuations and surcharges to you until full payment is received.
- Peak season surcharges and block out dates may apply.
- Airfares are subject to the prices and conditions quoted by the particular airlines and cannot be guaranteed by African Tourism Alliance.
- Should the client make a group reservation and subsequently the group numbers deviate from the minimum number required for the booking, African Tourism Alliance reserves the right to re-cost the price and raise a surcharge.
Changes by You
- If you wish to make a change to your booking, we will endeavour to assist you to make the change wherever this is possible. You will need to pay all charges, of whatever kind, imposed by the suppliers providing that component part of your travel arrangements when amending a booking any time prior to departure. Air Fares will be re-quoted at the time of amendment.
- After departure it is understood that extra expenses incurred as a result of any change will be for the passenger’s account, and any unused service will not be refunded.
Cancellation Policy
In the event of a cancellation of confirmed Services, a charge of the following cancellation penalties will apply (expressed as a percentage of the total price paid for the cancelled Tour, product or service)

- A minimum 25% if cancellation occurs 21+ days before Service commencement date.
- A 100% if cancellation occurs less than 21 days before Service commencement date.
Refund Policy
Refund policies of the suppliers vary. Should a refund be authorised, such refund will be made available to you. Refunds may take up to 6 weeks to be processed, although this time frame will depend on the Service provider.
Know Before You Travel
- Please carry valid identification proof and the voucher.
- Travel Insurance is recommended and charges are not included.
- International or domestic flight tickets are not included in the package.
- Rates may fluctuate with any change in services/hotels.
- Any personal expenses or items of personal nature will not be included in the package.
- Meals not mentioned are not included in the package.
- Personal Expenses and mandatory hotel taxes (if any) will have to be paid by the customer at the destination.
Rates are on per person basis on twin/double sharing occupancy based on min 02 People traveling together.
Indemnity Policy:
- In consideration of African Tourism Alliance made efforts in informing me about this trip, I, for myself and personal representatives, assigns, heirs, and next of kin: RELEASE, WAIVE and DISCHARGE African Tourism Alliance, its agents and employees from all liability to myself, my personal representatives, assigns, heirs and next of kin, for all loss, damage, injuries, illness, and claims, including attorney fees, on account of injury to myself or my property, whether caused by the negligence of African Tourism Alliance or otherwise, which I may experience or sustain arising directly or indirectly from this trip; and INDEMNIFY AND HOLD HARMLESS African Tourism Alliance, its agents and employees from any and all claims and costs arising directly or indirectly out of any of my activities, acts and omissions while on this trip.
- African Tourism Alliance shall not be liable for any property damage, unreasonable wear and tear, losses or injuries caused by the travelers. Any damage caused by the travelers in a destination area must be reimbursed by the travelers in accordance with the current legislation of the destination area.
- I am made aware and have a copy of the itinerary for this trip.
- I take full responsibility to be on time with all its provisions and I am fully aware and agree that if I am late for anything during this trip or lack necessary provisions or documents to proceed.
Complaints Policy
We aim to provide a high quality service in all areas, but we recognise that sometimes things can go wrong. Your views are very important to us and we take all feedback we receive very seriously. We appreciate all your comments as they give us an opportunity to learn and improve. If you have a complaint please notify us at the time of your stay so that we can resolve it immediately. We will promptly try to resolve any customer complaint relating to our establishment info@africantourismalliance.com
Our right to Cancelation Policy
We reserve the right to cancel any booking without compensation, refund or reimbursement if the terms of these conditions are breached.
General Policy
- This Agreement constitutes the sole record of the agreement between the Parties in relation to the subject matter hereof. Neither Party shall be bound by any express or implied term, representation, warranty, promise or the like not recorded herein. This Agreement accordingly supersedes and replaces all prior commitments, undertakings or representations, whether oral or written, between the Parties in respect of the subject matter hereof.
- No addition to, variation, novation or agreed cancellation of, any provision of this Agreement shall be binding upon the Parties unless reduced to writing and signed by or on behalf of the Parties.
- No indulgence or extension of time, which a Party may grant to the other, shall constitute a waiver of, or, whether by estoppel or otherwise, limit any of, the existing or future rights of the grantor in terms hereof, save in the event and to the extent that the grantor has signed a written document expressly waiving or limiting such right.
- The Parties undertake to do all such things, perform all such acts, take all such steps and procure the doing of all such things, performance of all such acts and the taking of all such steps as may be necessary, incidental or conducive to the implementation of the terms and conditions of this Agreement.
Force Majeure
Except where otherwise expressly stated in these booking conditions, we regret we cannot accept liability or pay any compensation where the performance or prompt performance of our contractual obligations is prevented or affected, or you otherwise suffer any damage or loss, as a result of “force majeure”. In these Booking Conditions, “force majeure” means any event which we or the supplier of the service(s) in question could not, even with all due care, foresee or avoid. Such events may also include war or threat of war, riot, civil strife, terrorist activity or actual threatened terrorist activity, industrial dispute, natural or nuclear disaster, adverse weather conditions, epidemics such as SARS, Coronavirus and the like, fire and all similar events outside our control.
Protection of Personal Information
By signing our Booking Form, you authorise African Tourism Alliance to collect your Personal Information as it is deemed relevant for us to provide you with your Travel requirements. African Tourism Alliance is committed to the adherence of national legislation and regulations pertaining to the safeguarding of data privacy and shall use information provided by you to perform our services.
NB: Deposit payment is a confirmation that you read and agree to our Terms and Conditions listed in this agreement.
